Workspace Overview

A digital workspace functions exactly like your physical staffroom, but it sits securely inside your computer, smartphone, or tablet. Instead of moving from desk to desk to find a syllabus or notice, everything is centralised under a digital environment. To help you navigate this space, Google provides a core suite of tools designed to store your work safely, speed up daily routines, and handle your daily tasks.

Think of your digital workspace in these simple categories:

Communication

These tools can be used to connect with students, parents, and faculty.

  • Gmail: An email service.

  • Google Meet: A virtual platform where you can set up video calls.

  • Google Chat: A messaging tool.

  • Google Calendar: A simple tool to manage your daily timetable.

Content Creation and Collaboration

These tools help you create and share course content like activities and assignments.

  • Google Docs: Your digital notebook.

  • Google Sheets: Your digital attendance and marks register.

  • Google Slides: Your digital blackboard.

Assessment and Data Organisation

  • Google Forms: A digital feedback and quiz station.

Class Management

The central hubs for creating a digital classroom and structuring files.

  • Google Classroom: This helps you create and grade assignments, share resources, and give feedback on work done by students.

  • Google Drive: This is the space where you can store and share all your documents and files.

  • Google Sites: This lets you create websites.

Every single one of these tools is built to do three things for you: help you communicate, collaborate, and save your precious time.

Let’s walk through logging in to your email ID. You can use either your personal account or your Workspace account to login. Personal accounts end with @gmail.com, while official Workspace accounts provided by your institution use a custom domain (e.g., @institution.edu.in or @institution.ac.in).

Follow these simple steps on your device to get your workspace completely ready for daily use:

For Desktop/Laptop:

1. Log In to your Account

Open your Google Chrome browser on your computer. Go to the top search bar, type google.com, and click that blue Sign in button in the corner. Type in your personal or institutional email address and password.

Check your screen: Look at the top-right corner. Do you see your account initial or profile picture? If yes, you are officially inside!

Additional Step for Google Workspace Account: Switch Browser Profiles

If you are on a laptop or desktop computer, look at the very top-right edge of your screen; up on the actual window frame, above the webpage. Click your profile icon bubble and select Add or Switch Profile. Sign in with your institutional email here.

(This additional step creates a dedicated window just for your institution work.)

2. Navigate your Digital Workspace

Look back at the top-right corner of your page and find the Google Apps Launcher; the icon that looks like a grid of nine small dots. Click it to pop open your main tool dropdown.

Let's click through the Google tools one by one to see where they live:

Click the icons to explore Docs (your digital notebook), Sheets (your digital attendance and marks register), and Slides (your digital blackboard).

Go back to the nine dots and open Gmail to look at your official notice inbox at any time.

For Smartphone/Tablet:

1. Log In to your Account

Open the Gmail app. Tap the profile icon in the top-right corner and select "Add another account" to sign in with your personal or institutional email address and password.

Additional Step for Google Workspace Account: Switch Accounts

Tap your profile icon in the top-right corner of any Google app to quickly switch between your personal and institutional accounts.

2. Navigate your Digital Workspace

Access your apps by opening their specific icons (Drive, Docs, Sheets, Classroom etc.) directly from your app menu.
